PRIVACY POLICY

Controller/Business: The Underwood Group, LLC (“we,” “us,” “our”)

This Privacy Policy explains how we collect, use, share, and retain information when you use ugroupsite.com, Zoom scheduling/meetings, Lawvocate access links, and related services (the “Services”).

1. Information We Collect

A) Information you provide

  • Name, email, phone, firm/company, role, and preferences
     
  • General description of your matter (avoid sensitive details pre-engagement)
     
  • Messages and scheduling details
     
  • If you use Site forms that capture information for drafts/intake, that content
     

B) Billing

  • Subscription status, invoices, and payment confirmations
     
  • Payments processed by Stripe and/or ACH providers; we do not store full card numbers.
     

C) Technical and usage data

  • IP address, device/browser data, timestamps, pages/screens viewed, and security logs
     
  • Analytics/event data if enabled (see Cookies/Tracking)
     

2. How We Use Information

To operate and secure Services, provide support, respond to inquiries, schedule sessions, process payments, improve reliability, prevent abuse, comply with legal/ethical obligations, and send operational messages—marketing messages only where permitted and with opt-out.

3. Sharing

We may share information with service providers to support the Services (e.g., hosting, scheduling, videoconferencing, payment processors, analytics, and AI providers), subject to appropriate contractual and confidentiality expectations. We do not sell personal information.

4. Pre-Engagement Confidentiality Warning

Pre-engagement communications may not be privileged. Do not submit confidential or highly sensitive information unless and until we confirm representation and provide a secure channel.

5. AI Processing 

AI Processing. If you use Lawvocate or AI-assisted features, your inputs may be processed by third-party AI providers to generate outputs. Where vendor controls allow, we configure settings intended to reduce or prevent the use of inputs for model training; however, third-party providers may change their policies or controls, and we cannot guarantee behavior outside our systems. Do not submit sensitive data unless and until we confirm representation and provide a secure channel.

6. Third-Party Platform Chat History (OpenAI/Google)

When Lawvocate is used via third-party platforms under the user’s own account, chat history and storage are governed by the third-party platform’s terms and privacy policy. We do not control their retention/security practices outside our systems. If you choose to share transcripts with us (e.g., by copy/paste, upload, or email), then that shared content is handled under this Privacy Policy and applicable engagement terms.

7. Cookies and Tracking (Planned / Not Yet Implemented)

We may implement cookies and similar technologies for functionality, security, and analytics. If/when enabled, we may use:

  • Essential cookies (security, session integrity)
     
  • Analytics cookies (usage measurement and performance)
     

Choices: You can control cookies via browser settings. If required by applicable law (e.g., EU/UK), we will provide a cookie consent banner and allow you to manage preferences.

8. Retention

We retain information only as long as reasonably necessary for the purposes described (including security logging and compliance) or as required by law and professional obligations.

9. Security

We use reasonable safeguards (access controls, encryption in transit where available, logging, and least privilege). No system is perfectly secure. Protect your credentials.

10. Your Rights and Choices

You may request access, correction, or deletion by contacting privacy@ugroupsite.com, subject to legal/ethical retention obligations. You may opt out of marketing emails via unsubscribe links.

11. International Disclosures (GDPR/UK + Canada Readiness)

If you access from outside the U.S., your information may be processed in the U.S. and other locations where service providers operate.

EU/UK: We process personal data under lawful bases such as consent (where required), contract necessity, and legitimate interests (security and service improvement). You may have rights to access, delete, correct, restrict, object, and portability, and to lodge a complaint with a supervisory authority. Where required, we will implement appropriate transfer safeguards with vendors.

Canada (PIPEDA/PIPA-style principles): We follow principles for identifying purposes, obtaining consent where appropriate, limiting collection, implementing safeguards, and handling access/correction requests.

12. Children

Services are not directed to children under 13 (or under 16 where applicable). Do not use the Services if you are under the applicable age threshold.

13. Updates

We may update this Privacy Policy by posting a revised version and updating the Effective Date.
